CAFAS Online File Transfer

 
 
   
 

Introduction:

Effective July 2nd 2009 we are employing a new method of file transfer for CAFAS users: (http://www.cafasinontarioportal.ca).

The CAFAS Online File Transfer Application (COFTA) was developed as a result of the rising number of issues related to CAFAS export and reports transfer.

Benefits to CAFAS Users and CAFAS in Ontario:
Exports to the HSC:
1) The new system eliminates the file transfer difficulties some users have experienced when dealing with :
- the increasing size of the attachments and email server limitations on both sides
-file extensions that are not recognized (e.g. .sps) and eventually blocked by the email server/ firewall
- sending the export form a specific computer where the email account is setup
2) Now, the export can be uploaded from any computer with access to the Internet.
3) The application drastically reduces the burden of monitoring and organizing hundreds of emails with large attachments that are exchanged every quarter of the year; now, all files will go to a specific location on the server from where they can be easily retrieved
4) We eliminate the time spent to identify the file sender among users who do not appear in our database or who did not mention the agency name (or the site) in the subject line
5) The system instantly confirms whether or not files were successfully submitted


Quarterly Reports to Agencies:
5) The CAFAS Online File Transfer Application eliminates the burden of sending hundreds of emails with attachments to CAFAS agencies every three months.
6) Starting with the session 2009.1, multiple reports can now be accessed at any time by those designated to login to the Download Reports section..
7) The new system eliminates the possibility of failed report exchanges that have occurred in the past due to changes in email domain addresses.
8) The new system also provides a more secure way of exchanging files.

How is this working ?

Go to: www.cafasinontarioportal.ca

Depending on what your objective is, you may want to acces the Upload Export Files or Download Reports. Cllick on the button you want to use.

Input the username and the password assigned for this process. Please note that, the two sections have the same username but they might have different passwords.
Attention! If you Click on the Reports Button and use the login information for the Exports page, the system will return the Sign In Failure Message.

If you forgot your username or password please send a request by filling out the form accessed by clicking the link under the log-in information.

If you are either the CAFAS coordinator or a person in charge of both exporting and consulting the reports, you may choose to have the same password for both Upload Exports and Download Reports sections. This will give you, at the next login, access to both areas with one sign-in.

To do this, look for the Change Password link once you are in one of these two areas.

Please note that your change will affect all those who belong to the same group of people within your organization (Exporters or Report Recipients).  As such, please do not change the login information without informing others who have access. As a best practice note, for organizations where there are 5 -10 people working with CAFAS data, it is recommended that you have a unique user ID and password.


Upload Export Files

The name that appears in the greeting line on the Export Files page is the contact that appears in our records as being the individual responsible for the exports submission in the past. You are invited to update this contact profile if the information has changed . This is now the only way we can communicate with the appropriate person in case there are issues with the exported files.

Attaching the files is an easy process that is similar to the way it was done via email.  To attach files, please follow the directions on the page..
Once you upload the export files, a confirmation message will appear

You can choose at any time to go to the Download Reports section of the application, by clicking on the highlighted blue button or by closing the application and signing in again after pressing the blue button.

Download Reports

To download reports you simply have to click on the link and Open or Save the file. The list will contain all the Audit Reports and The Quarterly CAFAS Reports from 2009 forward.

 

 




You can choose at any time to go to the Upload Export Files section of the application, by clicking on the highlighted orange button or by closing the application and signing in again after pressing the orange button.
